“Proactive language shows the speaker taking responsibility for a situation or experience, seizing control as demonstrated by the use of active and decisive sentences.”
Situation 1: Your client schedules an important meeting that conflicts with a personal commitment you have made.
Proactive:
- Let me explore all of my options. There might be a way to do both.
- I would like to schedule my personal commitment.
Reactive:
- Oh shit! Now I have to cancel my plans?
- I always have to change my plan to make way for his. This is not fair!!!
Situation 2: Your company lost a big client to its competitor due to poor delivery performance. As a result, it didn’t meet its monthly sales target.
Proactive:
- Our sales took a hit this month and missed the monthly sales target as a result of disengagement with one of the major clients. Investigation and follow-up suggest that inconsistent supply chain performance are the main root cause. Corrective actions have been put in place to rectify the situation.
Reactive:
- Supply chain department had missed a number of deliveries over the past few months. The client is so upset with us and have finally decided to discontinue any further engagement. This is nothing we can do!
Situation 3: Your boss blames for a report your teammate is responsible for.
Proactive:
- Thanks for bringing this to my attention. If you could spare a minute with me to show me the problem, I will communicate it to the team to prevent reoccurrence.
- I should apologise for the mistake. I think there has been a miscommunication with my team and I’ll get back to you.
Reactive:
- It is not my fault! You should talk to John.
Situation 4:Your boss just added three more deliverables but won’t increase your resources.
Proactive:
- Let’s gather up our thoughts to see what resource we haven’t thought of.
Proactive:
- You always expect me to do more with less!
