We are currently looking to hire a receptionist / admin assistant for our office
The main responsibilities of this position is to receive visitors entering the offices and to direct incoming calls to appropriate areas and to provide effective administration services as required.
Other responsibilities include:-
Professionally manage the reception area, attending to all visitors and maintaining the visitors’ book and security cards
Ensure the area is clean and tidy, reporting problems to the Operations Manager
Share the switchboard from 8.30am to 5.00pm, answering incoming telephone calls, taking and emailing messages if required, and retrieving voice mail messages
Sort, date stamp and distribute all incoming external / internal mail and prepare all outgoing mail
Sort and distribute incoming documents to mail boxes
Coordinate incoming and outgoing couriers, monitor and track deliveries
Update phone listings, speed dial numbers and electronic directories as notified.
Update electronic message boards and SharePoint sites as required
Provide administration support and back-up for the Administration team as required.
Provide basic administration support for all departments upon request
Allocate security access rights to staff members as suitably justified and visitors as required
Run reports from security system and report on anomalies to manager
Raising purchase orders for stationary, catering and administration as required
Qualifications
We are looking for candidates with the following skills/experiences:-
Secretarial and reception skills
Experience in receptionist / telephonist duties and PC use
5-10 years’ proven experience in similar role
Attention to detail with a sense of urgency
Proficient user of Microsoft Office applications, including Outlook, Excel, Word, PowerPoint
Able to analyse data in excel and verify against freight invoices
Knowledge of switchboards and mail rooms |
